World-Leading Accreditation, Centralised FM: How NATA Gained National Visibility Over Its Facilities

Key Metrics

  • 2,900+ Members
  • 4,200+ Accredited Sites
  • 50+ Industries Served
  • 5 Office Sites Centralised
  • 23 Buildings
  • 2170+ Work Orders Created to Date
  • 260+ Assets
  • 145+ Suppliers
  • 125+ Users

Key Outcomes

  • Spreadsheet sprawl eliminated: Asset and maintenance data consolidated from siloed, site-by-site spreadsheets into one centralised, easy-to-navigate platform.
  • National visibility achieved: Real-time oversight across all five office sites enables efficient work order triage, resource allocation, and data-driven decision making.
  • Knowledge risk removed: Institutional knowledge previously held by individuals has been captured and standardised within the platform, protecting the organisation from single points of failure.
  • Asset lifecycle management enabled: Maintenance histories, end-of-life forecasting, and cost tracking are now accessible on demand - eliminating guesswork and reducing financial risk.
  • Strong adoption through considered change management: A people-first rollout strategy has driven high levels of staff compliance with new work request processes and a measurable cultural shift across the organisation.

About NATA

NATA (National Association of Testing Authorities) is Australia's leading national accreditation body, recognised by government to assess organisations against international standards across laboratories, inspection bodies, proficiency testing scheme providers, and reference material producers.

The Challenge

Operating out of five offices across Australia, NATA had historically relied on individual office managers to oversee facilities and asset management at a local level. Each site followed its own processes, and critical data lived in spreadsheets spread across the organisation. The result was a fragmented landscape - no central source of truth, no standardised workflows, and no reliable way to gain a consistent national view of NATA's assets and operations.

Asset maintenance planning - including tracking repair histories, end-of-life status, and associated costs - depended heavily on the knowledge of specific individuals. For National Facilities and WHS Manager Cameron Lamb, this created a clear and pressing risk. Without reliable, consolidated data, it was impossible to synchronise activities across sites, forecast expenditure accurately, or make decisions that reflected the full picture. In 2021, NATA set out to change that - embarking on an initiative to centralise their facilities and asset management function with a purpose-built software solution.

"Without access to the right data, we were reliant on the knowledge and experience of individuals. We wanted to be able to look at an asset, know exactly what work has been done on it, when, and predict when it would need to be repaired or replaced."
- Cameron Lamb, National Facilities and WHS Manager, NATA

The Solution

NATA's approach to evaluating a facilities management solution was measured and methodical - a reflection of the high standards the organisation upholds in its own accreditation work. Security was a non-negotiable requirement. NATA's IT team were involved from the very start of the process, assessing data storage practices, password strength protocols, and breach response policies in detail. After a thorough review across multiple platforms, FMI Works stood out for both its security credentials and the overall maturity of its application.

With a solution selected, NATA took the same considered approach to implementation - adopting a progressive, site-by-site rollout to allow the team to fine-tune processes and build confidence in the platform before expanding more broadly. Comprehensive training packages, a responsive support team, and round-the-clock access to the FMI Works help centre ensured the team were well-equipped from day one.

"FMI Works seemed to have a higher level of maturity and robustness compared to some of the other solutions we looked at, in terms of application security. Once our IT and security team reviewed all the documentation, they were very comfortable with FMI."
- Cameron Lamb, National Facilities and WHS Manager, NATA

The Impact

A single source of truth - nationally

Where asset histories and maintenance plans once lived in the minds of individuals and the rows of unwieldy spreadsheets, they now sit in a single, accessible platform. Cameron Lamb and his team have the visibility they need to make informed decisions across all five sites - with asset lifecycle data, maintenance costs, and work order histories available on demand.

The standardised processes that FMI Works has enabled are delivering real operational value: the team can now triage work requests efficiently, allocate resources with confidence, and forecast future asset expenditure with far greater accuracy than was previously possible.

"We needed to bring in a system to improve visibility over things like maintenance costs, end of life, and costing of assets across the business. Improving visibility enables us to make data-driven decisions, which can be implemented through standardised processes across all our sites."
- Cameron Lamb, National Facilities and WHS Manager, NATA

A measurable shift in team culture

One of the more unexpected outcomes of NATA's FMI Works implementation has been the human one. Through a deliberate, empathetic approach to change management, the team has guided staff away from old habits and toward consistent use of the new platform for logging jobs and flagging site issues. The cultural shift has been tangible - and the feedback from staff has been positive.

With contractor management via the FMI Works Contractor Portal identified as the next milestone, NATA continues to mature its facilities management capability at a pace that suits the organisation - ensuring each step is implemented properly before moving on to the next.

"If people slip back into old ways of doing things, we take the time to show them, so they're empowered to follow our processes. We've noticed that the culture is changing, and people are increasingly using FMI Works to log their jobs and any issues around sites, which is really good for us."
- Cameron Lamb, National Facilities and WHS Manager, NATA
