FMI Works is designed for facility teams who need full visibility and control over their facilities, from raising work requests through to completing jobs and managing assets. The platform supports multiple user types including facility managers, internal trades, contractors and requesters, with each user given access to the modules that align with their specific role.
FMI Works onboarding follows a structured four-phase approach, covering preparation, getting your team work order ready, building out your asset register and planned maintenance, and transitioning to ongoing customer support. The FMI team guides you through each phase. If your organisation needs a staged rollout or additional project management support, the team can tailor the process to suit your needs.
Before you can start managing work orders, your base data including locations, suppliers and user accounts needs to be configured in the platform. As part of the onboarding process, the FMI Works team guides you through these setup steps and helps upload your data. Once your base data and core work order settings such as service types, priorities and statuses are in place, your team is ready to start processing jobs straight away.
A successful go live starts with ensuring user permissions are correct, email notification templates are personalised, and that both facility users and contractors are clearly communicated to ahead of launch day. It's important to let your users know what to expect, how to log in, and how to raise requests before the system goes live. The FMI Works team is available to support you before, during and after launch to ensure a smooth transition.
FMI Works APIs support a wide range of integration scenarios that automate the exchange of data between FMI Works and other core business systems, such as finance platforms, housing systems and facility booking tools. Common use cases include importing invoice costs to work orders, triggering purchase orders based on work order status, and automatically creating work orders following booking confirmations. A sandbox environment is also available on request for safe testing before connecting to live data.
FMI Works supports two authentication methods: a built-in FMI authentication system and Single Sign-On (SSO) via OpenID Connect, with tested support for Microsoft Entra ID and Okta. The platform enforces strong password policies, account lockout protections and optional multi-factor authentication using the industry-standard TOTP protocol. For organisations requiring greater control over their authentication rules and password policies, SSO is recommended as it allows you to manage these settings within your own identity provider.
FMI Works is a cloud-based, responsive web application that works on any modern device and does not require private network access or custom infrastructure to operate. It supports the latest three versions of Google Chrome, Microsoft Edge and Apple Safari across current versions of Windows, macOS, iOS and Android. All data is stored securely in Microsoft Azure with 35-day point-in-time backup retention, long-term backups held for six months, and secondary data centre replication for disaster recovery protection.
FMI Works includes more than 70 standard out-of-the-box reports covering key areas of facilities management including work orders, assets, planned maintenance, financial expenditure, contractor accreditations and projects. All reports can be exported in PDF or CSV format, and can be scheduled in advance and distributed automatically to key stakeholders. A central services dashboard is also available to give your team a real-time overview of works management activity.
Yes, FMI Works includes dedicated reporting categories for both supplier management and financial management, covering everything from contractor accreditation status and exclusions through to budget summaries, invoice approvals, work order costs and cost allocation details. These reports have been developed with direct client input to ensure they meet the practical data needs of facility managers. Whether you need to track KPIs, monitor overdue work or review expenditure by site, FMI Works has a report to support it.
For our FMI Customers, the quickest way to reach the FMI Works support team is to log a support ticket through the online Help Centre, with our customer support team responding typically within 10 minutes during business hours. Support is available Monday to Friday, 8am to 5pm AEST/AEDT (Melbourne time), excluding Australian National public holidays.
