Stop the Double-Up: Why Facility Teams Can End Up Processing the Same Maintenance Request Twice

For facilities managers, duplicate work orders aren't just an administrative irritation. They distort maintenance data, inflate reported costs, and waste technician hours on jobs that have already been actioned or, worse, jobs that get completed twice.  

In a portfolio with dozens or hundreds of active sites, even a small duplication rate compounds quickly into wasted labour and budget leakage that's difficult to trace back to its source.

Duplicates typically fall into three categories:

  • Channel duplicates – the same issue reported through two different intake methods, such as a tenant emailing facilities while a site staff member also logs a phone request.
  • Reporter duplicates – multiple people noticing and separately reporting the same visible issue, such as a leaking tap in a shared bathroom.
  • System duplicates – a request logged again because the original ticket wasn't visible, searchable or clearly marked as "in progress" to the person creating the new one.

Understanding which category is driving your duplication problem is the first step to fixing it, because each has a different root cause and a different fix.

Why Do Maintenance Requests Get Processed Twice?

This is the question most facilities managers actually want answered, because the fix depends entirely on the cause. In most organisations, duplicate work orders come down to one or more of the following:

  • No single intake point. When maintenance requests can come in via email, phone, paper forms and verbal handovers, there's no shared view to catch overlap before a second job is created.
  • Poor visibility across teams. Even with a digital system, if technicians and administrators can't easily search existing open requests by location or asset, duplicates slip through simply because nobody checked first.
  • Delayed status updates. A request that's been actioned but not marked as "in progress" or "completed" looks unresolved to anyone else who checks, prompting them to log it again.
  • Fragmented site records. Multi-site organisations without a shared facility management system often have each site running its own informal process, making cross-site duplication almost inevitable for shared assets or contractors.
  • No deduplication logic at the point of entry. Manual logging relies entirely on human memory and diligence, whereas the strongest processes actively flag potential matches before a new ticket is finalised.

Each of these causes points to the same underlying issue: a lack of centralised, real-time visibility into what's already been reported and where it stands.

How to Reduce Duplicate Maintenance Requests

Reducing duplication isn't about adding more approval steps, which tends to slow legitimate requests down without solving the underlying visibility problem. It's about closing the gaps that allow the same issue to be logged more than once in the first place.

Practical steps that make a measurable difference include:

  1. Consolidate intake into a single channel or platform. Every maintenance request, regardless of who raises it or how, should land in one place that's searchable by location, asset and status.
  1. Make open requests visible to anyone who might log one. If site staff, tenants and contractors can see that an issue is already logged and actioned, they're far less likely to submit a second request for the same problem.
  1. Update status in real time. A request left sitting as "new" for days, even after a technician has started work, invites duplication. Status changes should happen as work progresses, not retrospectively.
  1. Standardise how requests are categorised. Clear, consistent categorisation of issue type and asset makes it easier to spot potential matches, whether that check is done manually or automatically.
  1. Review duplication trends periodically. Treat duplicate rates as a metric worth tracking, not just an operational annoyance. A rising duplication rate is often an early signal that intake processes have become fragmented again.

Understanding the practical difference between a maintenance request and a work order also helps here, since much of the confusion that drives duplication stems from teams not distinguishing clearly between the initial report and the formal job created from it.

Where Duplicate Work Orders Fit Into Broader Risk Management

Duplicate work orders rarely exist in isolation. They're usually a symptom of the same fragmented processes that also drive missed compliance deadlines, inconsistent contractor oversight and unreliable asset histories. Addressing duplication in isolation treats the symptom rather than the cause.

A stronger approach is to look at maintenance intake as part of a broader risk management framework, where visibility, accountability and data accuracy are treated as connected priorities rather than separate problems. This is particularly relevant for organisations juggling multiple contractors, where poor contractor coordination can itself become a source of duplicated or conflicting job instructions.
