What Is Preventive Maintenance? A Smarter Way to Reduce Facility Downtime and Equipment Failures

Preventive maintenance is the practice of servicing, inspecting, and maintaining assets on a planned schedule - before failure occurs.

What Are the Main Types of Preventive Maintenance?

Preventive maintenance sits within a broader spectrum of maintenance strategies, but it has two common subtypes worth understanding:

  • Scheduled or ‘planned’ preventive maintenance is calendar-based. Tasks are planned and assigned in advance, often automatically generated by a facility management system. A quarterly HVAC filter replacement or a monthly fire extinguisher check are typical examples.
  • Condition-based maintenance (CBM) is technically a subset of predictive maintenance, but shares the preventive goal of acting before failure. Rather than a fixed calendar, CBM uses sensor data or physical inspection results to determine when maintenance is actually needed. It avoids unnecessary servicing while still preventing unexpected breakdowns.

Not every asset needs a PM schedule - that is a resources trap many facilities teams fall into. The assets that benefit most from preventive maintenance share certain characteristics:

  • High asset criticality: failure would disrupt operations, create safety risks, or affect occupant wellbeing
  • High replacement or repair cost: the cost of failure significantly exceeds the cost of prevention
  • Predictable degradation patterns: the asset wears in known ways over time
  • Long operational lifespan: regular servicing meaningfully extends the asset's useful life

In practical terms, this includes HVAC systems, elevators, fire and life safety equipment, electrical switchboards, plumbing infrastructure, commercial kitchen equipment, and building management systems. These are assets where a missed service has consequences - not just for the budget, but for safety and continuity.

What Does Preventive Maintenance Actually Prevent?

The value of PM is often framed in terms of what it avoids. Here is a practical breakdown:

Unplanned downtime. Equipment that fails without warning takes time to diagnose, repair, and return to service. That window - often measured in hours or days - carries real operational and financial cost.  

  • Secondary and cascade damage. A worn belt that snaps can damage surrounding components. A slow refrigerant leak left unchecked can destroy a compressor. Small faults become large ones when they go unaddressed.
  • Shortened asset lifespan. Assets that are serviced regularly last longer. This is not just intuition - it is reflected in asset lifecycle data across commercial and industrial facilities. Extending asset life by even a few years can represent significant capital deferral for large portfolios.
  • Occupant and tenant dissatisfaction. In commercial, healthcare, and education environments, equipment failures are visible. Preventive maintenance protects not just operations but reputation.

Building a Preventive Maintenance Programme: A Step-by-Step Framework

Getting a PM programme off the ground does not require a complete overhaul. A phased approach works well for most facilities teams:

  1. Audit your asset register. You cannot maintain what you cannot see. Start with a complete, accurate list of assets - location, age, condition, and current maintenance status.
  1. Classify assets by criticality. Use a simple scoring system (high, medium, low) based on failure consequence and replacement cost. This determines where PM effort is concentrated.
  1. Define PM tasks and frequencies. For each high and medium criticality asset, define what maintenance is required and how often. Manufacturer guidelines are a useful starting point, adjusted for your environment and usage intensity.
  1. Build your PM schedule. Assign tasks to time periods, balance workload across the year, and account for contractor lead times and seasonal demand peaks.
  1. Assign and execute work orders. Each PM task becomes a work order with a due date, assigned technician, required parts or materials, and completion checklist.
  1. Record and analyse. Completed work orders feed your asset maintenance history. Review completion rates, recurring faults, and cost per asset regularly to refine the programme.
