Case Studies

Colac Area Health is an established Victorian healthcare services provider delivering safe, high-quality care to communities across the Corangamite, Colac Otway, and Surf Coast Shires. Serving more than 30,000 people, the organisation operates as a unique, integrated health service encompassing Aged Care, Hospital Care, Community Care, and a broad range of allied health services - across 9 sites, 19 buildings, and more than 2,100 active assets.
Colac Area Health engaged Barwon Health to support asset management maturity and implementation.
Facility management reporting was manual, fragmented and time-consuming. Data was pulled from multiple systems, consolidated in Excel, and reformatted for each audience - board, contractors, and compliance auditors. Producing 35–40 monthly reports took 1-1.5 days, and by the time the process was complete, the numbers were already out of date.
For a health service with AMAF obligations and a board expecting accurate, timely information, this approach was unsustainable.
Colac Area Health engaged FMI Works in August 2023 to centralise asset management, maintenance, contractor management and AMAF compliance in one platform.
FMI Works provided a purpose-built platform for managing facilities, assets and compliance, designed specifically for healthcare operations.
The addition of FMI's Power BI Reporting Connector extended those capabilities further, transforming system data into tailored, near real-time dashboards. Built in collaboration with FMI's consulting team and customised to Colac Area Health's branding, the dashboards give different stakeholders exactly the view they need - without requiring reports to be produced from scratch each time.
What once consumed 1-1.5 days now takes minutes. Dashboards refresh every five minutes, so reports pulled immediately before a board meeting reflect what is happening right now - not what was happening weeks ago. Directors receive weekly updates; operational and compliance views are available on demand.
“I can say to the board: this data wasn’t two weeks ago, this is today, as of fifteen minutes before the meeting. That’s huge for us - the time saving and the relevance.” - Brett Hall, Senior Asset Planner | Building Services | Barwon Health
FMI Works is configured to map directly to AMAF requirements. Assets carry condition ratings, life expectancies, and criticality levels - linked to location risk categories such as theatre and urgent care. When an auditor asks how a particular area is managed, the evidence is accessible in seconds: assets, schedules, work order history, contracts, and compliance documentation in one place.
By linking assets to their complete work order history, FMI Works makes maintenance patterns visible and quantifiable. A full repair history supports a clear business case for replacement over continued spend on fixes - giving facility managers the evidence they need for capital planning conversations with the board.
“We’ve got the data - we can pull off that asset’s details, show you the work orders we’ve had. Now we can show that it’s worth replacing it, rather than keep spending money fixing it.” - Brett Hall, Senior Asset Planner | Building Services | Barwon Health
Work order submission is now consistent across the organisation. Staff and contractors log requests directly in the system, eliminating ad hoc interruptions and creating a traceable record any team member can access. The solution extends beyond traditional building services to include beds, CCTV cameras, and environmental assets - supporting AMAF's broader accountability requirements across the organisation.
With FMI Works, Colac Area Health has moved from manual, reactive reporting to a connected, real-time view of facilities, assets and compliance - supporting faster, more informed decisions across the organisation.
“I don’t know how people aren’t using a similar system. The traceability alone - managing contractors, assets, budgets and financials - it’s all on our FMI dashboard.” - Brett Hall, Senior Asset Planner | Building Services | Barwon Health
